Stomping Ground Photo provides school photography services in alignment with applicable federal, state, and local student privacy laws and New York City Department of Education guidelines. We operate as a contracted service provider to schools and use student information solely for the purpose of producing and delivering school photographs, yearbook files, ID cards, and secure online galleries for families.

For these services, schools provide limited student directory information — such as student name, class, and grade. We collect only the information necessary to fulfill school photography services and do not collect or store sensitive personal identifiers beyond what is provided by the school for contracted services.All student information entrusted to us is used only for contracted school purposes. We do not sell student data, and we do not use student images or information for purposes unrelated to delivering school photography services. Student images are never posted publicly or on social media without explicit written permission from a parent or authorized guardian.

2. Information we receive

Information provided by schools
To fulfill school photography services, schools may provide directory information, including:

Student Names
Staff Names
Grade
Class Name
Parent or guardian email address (if provided by the school)
Student email address (if provided by the school, such as for Seniors)
Student ID number (if provided by the school)
Staff ID number (if provided by the school)

Information provided directly by parents or guardians
Parents or guardians may voluntarily provide information at checkout:

Email address
Phone number
Shipping address for purchased products
Communications submitted to customer support

Gallery access information
To provide secure online gallery access, unique access codes may be generated and distributed to families. Parents and students may opt out of non-essential communications or request removal of their email address from our systems, subject to operational and legal requirements.

Order and transaction information
Payment information is processed securely through PCI-compliant third-party payment providers. Stomping Ground Photo does not store credit card numbers on its servers. When a purchase is made, we collect:

When student ID numbers are used for internal school purposes (such as ID card production or gallery access), they are provided by the school and are not required by Stomping Ground Photo. We do not request or collect additional student information beyond what is needed to fulfill contracted services.

We use personal information solely to support the delivery of school photography services and related operations. This includes:

Email addresses provided by schools or families are used for gallery access emails, order confirmations, and customer support. Recipients may opt out of emails by clicking unsubscribe.

We share personal information only as necessary to deliver school photography services and operate our business responsibly. This may include sharing information with:

Third-party service providers that support photography production, image processing, printing, hosting, or order fulfillment

Online galleries are generally accessible for up to 2.5 years from the date of publication. After that period, galleries may be archived but retained for long-term access and restoration upon request.

We conduct periodic data reviews to ensure information is retained in alignment with operational needs and applicable privacy requirements. Third-party service providers engaged by Stomping Ground Photo are expected to implement appropriate retention and security safeguards.
