YEARBOOK SELECTION TOOL

For schools with a yearbook, we can offer a convenient feature in the shopping cart called the Yearbook Selection Tool.  Students can choose their favorite portrait photo for the yearbook in their gallery. This is the image that is used to create the PSPA/Yearbook file that flows into most yearbooks software. 

• Schools have the option of 1 or 2 yearbook selections.
• Directions on how to use the tool are in each student gallery. 
• If you do not see directions that means that your school is not using the yearbook selection tool or your deadline has passed. 
• “Hearting” an image relates to purchases only. Clicking a ❤️ does not signify a yearbook selection has been made.
• For schools that do not want to use the yearbook selection tool, Stomping Ground Photo can select the photo for students. This is the most common practice for PreK-5th grade schools. 

When do Yearbook selections need to be made?

The deadline for selecting the yearbook photo varies for each school gallery and is typically set one week after the Makeup Day galleries are announced. If your school does not have a Makeup Day then it is typically one week after the Picture Day galleries are announced.

Picture Day Contacts should ensure that families make their selection before the deadline.  The deadline is published on the page in each student gallery like below:

Do students receive reminders and instructions on how to make their selections? 

If an email was provided by the school for the family (in the submitted roster) then a reminder email with instructions will be sent like below. If not, then we rely on the Picture Day Contact to remind students to make their selections by the deadline.

What happens if a student does not make a yearbook selection by the deadline? 

If a student does not make a selection by the deadline, then we will make the choice for them. 

YEARBOOK DELIVERABLES AND TIMELINES

Students love choosing their own yearbook photo. We recommend middle and high school students select their preferred pose. See below to determine if our yearbook selection tool (YBS) suits your timeline.

One and Done: All files in one deliverable

• For schools with a Makeup Day, the YBS deadline is 1 week after we announce Makeup Day galleries to families. 
• For schools without a Makeup Day, the YBS deadline is 1 week after we announce Picture Day galleries to families.
• Yearbook/PSPA files are uploaded to the portal 1 business day after the YBS deadline. 
• This is our default timeline and will work for most schools. 

Double Up: Receive yearbook files twice (by request only)

• YBS deadline is the same as in the “One and Done” timeline above.
• Two rounds of  yearbook deliverables:
  • Round 1 ready after ordering deadline #1
  • Round 2 ready 1 week after Makeup Day galleries are announced. 
• Yearbook/PSPA files are uploaded to the portal.
• Only for schools that have Makeup Days.
• Not recommended as it can be difficult to flow two different files into yearbook software and some students change their selection choice between Picture Day and Makeup Day.
